Actuator and Solenoid Valve Spares RFQ Checklist

A practical sourcing checklist for pneumatic actuators, solenoid valves, limit switches, mounting kits, seals, fittings, documentation, and outage spares.

Actuator and solenoid valve spares are small compared with the valve package they control, but they can decide whether a skid ships, a process line starts, or a maintenance outage closes on time. A request that says only "solenoid for actuator" can miss voltage, coil type, porting, hazardous area needs, mounting pattern, manual override, enclosure rating, connector style, and documentation.

This checklist is built for maintenance buyers, PVF manufacturers, valve repair shops, industrial job shops, and purchasing teams that need cleaner RFQs for pneumatic actuators, solenoid valves, limit switch boxes, position indicators, mounting kits, tubing, fittings, seals, and related hardware. It focuses on the fields Westgate needs to quote practical, domestic, documented, and approval-ready options without slowing the job down.

Start with the valve and failure context

Source actuator and solenoid parts against the installed valve package, not as isolated catalog guesses. Include valve type, size, pressure class, body material, stem or shaft detail, fail position, service, equipment tag, photos, and whether the job is a replacement in kind, repair, skid build, emergency outage, or spare stock replenishment.

The failure mode matters. A burnt coil, leaking pilot valve, broken limit switch, slow actuator stroke, damaged tubing, missing bracket, water intrusion, or stuck manual override points the RFQ toward different parts. That context also helps Westgate flag related PVF, fastener, gasket, electrical, tube fitting, sealant, and tool lines that belong on the same request.

Identify the actuator before quoting accessories

State the actuator type: pneumatic rack-and-pinion, scotch yoke, spring return, double acting, electric, hydraulic, linear, rotary, quarter-turn, or specialty unit. Include manufacturer and model when known, torque requirement, spring set, fail open or fail closed action, air supply pressure, operating temperature, mounting orientation, and any plant-approved manufacturer rules.

For replacement work, photos of the nameplate, end caps, travel stops, air ports, bracket, coupling, valve stem, and current accessories are often faster than a partial part number. If an exact match is not available, ask for exact-match, documented alternate, domestic, and fastest-available quote lines so engineering can approve the right path instead of comparing vague substitutions.

Control solenoid valve electrical and pneumatic details

Solenoid valves need both electrical and pneumatic information. Include voltage, AC or DC, wattage or coil code, connector style, lead wire or DIN plug requirement, enclosure or area classification, manual override, LED or surge suppression needs, port size, thread form, 3-way or 4-way function, 2-position or 3-position function, Cv or flow requirement, pressure range, media, and exhaust arrangement.

For actuator-mounted solenoids, state whether the unit uses NAMUR mounting, manifold mounting, direct pipe mounting, remote tubing, or a custom bracket. A solenoid with the right voltage can still fail the job if the port pattern, gasket, screws, pilot supply, exhaust protection, conduit entry, or manual override style does not match the valve package.

Quote the air package as a working assembly

Many actuator problems are really air package problems. Include tubing size, fitting material, thread type, push-to-connect versus compression preference, filter-regulator-lubricator needs, pressure gauge range, speed controls, mufflers, check valves, quick exhaust valves, pilot valves, isolation valves, pipe nipples, plugs, sealant, and whether stainless, brass, plated steel, or polymer components are allowed.

If the air package is exposed to washdown, outdoor weather, corrosive atmosphere, vibration, high heat, low temperature, dust, or dirty compressed air, put that environment in the RFQ. That helps separate a low-cost utility fitting from a stainless fitting package, sealed coil connector, weather-resistant limit switch, or documented alternate that is better suited to the plant.

Do not leave position feedback vague

Limit switch boxes, position indicators, proximity sensors, and feedback devices should be quoted with the signal requirement clearly named. Include switch type, contact rating, voltage, number of switches, enclosure rating, conduit entry, terminal strip detail, visual indicator color, hazardous area requirement, cable gland or connector style, mounting pattern, and whether the plant needs mechanical switches, inductive sensors, or another feedback style.

For retrofit work, include photos of the top of the actuator, shaft adapter, bracket, cover label, terminal block, and conduit connection. The wrong feedback box can create extra field labor even when the electrical rating is acceptable, especially if the shaft height, mounting bolt pattern, conduit side, or visual indicator orientation does not fit the installed valve.

Name documentation and approval requirements early

Actuator accessories can trigger more paperwork than buyers expect. Put documentation needs in the first RFQ: data sheets, wiring diagrams, pressure ratings, temperature ratings, enclosure ratings, hazardous area approvals, country of origin, COCs, MTRs when applicable, domestic sourcing notes, approved manufacturer lists, and line-item exceptions.

If the plant allows alternates, define the approval path. Useful quote responses separate exact replacements, approved alternates, domestic options, stocked commercial options, and engineered substitutions. That makes purchasing faster because the maintenance, engineering, and quality teams can see the tradeoffs before the order is placed.

RFQ checklist

  • Valve type, size, pressure class, body material, tag, service, fail position, and repair or new-build context
  • Actuator type, model, spring return or double acting action, torque need, air pressure, and temperature range
  • Solenoid voltage, AC or DC, coil code, connector, conduit entry, manual override, and enclosure requirement
  • Solenoid function, port size, thread form, pressure range, Cv or flow need, exhaust detail, and mounting style
  • NAMUR, manifold, remote tubing, custom bracket, shaft adapter, coupling, gasket, and mounting hardware details
  • Limit switch type, contact rating, number of switches, visual indicator, terminal block, and conduit detail
  • Tubing size, fitting material, thread type, FRL needs, gauges, speed controls, mufflers, plugs, and sealant
  • Washdown, outdoor, corrosive, high heat, low temperature, vibration, dust, or dirty air environment
  • Domestic sourcing, approved manufacturer, no-substitution rule, country of origin, or alternate approval process
  • Data sheet, wiring diagram, COC, MTR if applicable, pressure rating, temperature rating, and exception notes
  • Needed delivery date, outage priority, ship-to ZIP code, partial shipment rules, and approval contact
